A fast-growing Pilates studio with two locations in Southern California. The business has scaled primarily through referrals, word-of-mouth, and strong locations, and is now ready to invest in consistent multi-platform marketing to accelerate growth.


Role Overview

We’re hiring a part-time Virtual Assistant (20 hrs/week) to own day-to-day social media execution, community engagement, and marketing communications across multiple platforms. This role will help expand beyond Instagram into YouTube, TikTok, Facebook, LinkedIn, and other channels, while also supporting inbox coverage and employee hours tracking to streamline payroll prep. This is ideal for a VA who is both creative and organized—someone who can take raw content, turn it into engaging posts, stay consistent, respond to messages, and keep marketing + admin tasks on track.


Key Responsibilities 1) Social Media Management (Primary Focus)

● Manage and post consistently across: ○ Instagram (active now)

○ YouTube

○ TikTok

○ Facebook

○ LinkedIn

○ (and other platforms as needed)


● Publish content using a mix of studio-provided assets (videos/photos) and platform-appropriate formats

● Monitor comments and messages, respond appropriately, and escalate when needed

● Maintain a simple content calendar and ensure consistent weekly posting

● Support engagement growth (followers, comments, inquiries) through responsiveness and content consistency


2) Content Support + Light Editing

● Organize studio content library (clips, videos, photos) for easier reuse

● Light video editing from provided clips (trim, captions, sequencing, “spice it up”)

● Provide content prompts and guidance (e.g., “film this today,” “try this trend,” “FAQ video idea”)

● Create basic Canva assets/graphics as needed for posts and promos


3) Marketing Emails (Flowdesk)

● Draft and send weekly marketing emails via Flowdesk

● Format emails with clean visuals and clear calls-to-action (booking, promos, updates)

● Maintain brand voice and consistency

● Ensure email timing aligns with promotions, events, and studio needs


4) Email & Inbox Support

● Monitor incoming customer emails daily (cancellations, pauses, questions, general inquiries)

● Respond using templates/brand voice where appropriate

● Flag sensitive or complex requests for owner review

● Keep communication organized and timely


5) Employee Hours Tracking / Payroll Prep Support

● Track employee hours and attendance to simplify payroll input:

○ Pull instructor class hours from the studio scheduling/booking system

○ Review daily instructor checklists (clock-in/clock-out) from Google Drive

○ Calculate total hours weekly (including minutes where applicable)

○ Deliver a clear weekly summary so payroll entry is fast and accurate Tools & Systems


● Social platforms: Instagram, YouTube, TikTok, Facebook, LinkedIn

● Flowdesk (marketing emails)

● Canva (basic graphics + email visuals)

● Google Drive / Google Sheets (employee hours + checklists)

● Studio booking/scheduling software (for instructor class hours)

● Video tools: familiarity with basic editing apps is a plus (Templify exposure helpful)


Required Qualifications

● 2–4+ years experience in social media management and/or digital marketing support

● Strong ability to stay consistent with content execution across multiple platforms

● Confident written communication (DMs, comments, email replies, marketing emails)

● Comfortable with basic video editing using provided clips (short-form content)

● Organized, detail-oriented, and reliable with deadlines and follow-through

● Able to work independently and take ownership once trained


Nice-to-Haves

● Experience supporting fitness/wellness brands (Pilates, gyms, med spa, etc.)

● Experience with content planning, social media calendars, or light strategy

● Understanding of what drives conversions: inquiries, bookings, and local awareness


Hours & Time Zone

● Part-time: 20 hours/week to start

● Time zone: Pacific Time (Southern California) preferred for collaboration and responsiveness

● Start target: January, following candidate selection and onboarding

● Consistent weekly posting across key platforms (not just Instagram)

● Faster response times to DMs/comments and customer emails

● Improved content quality (clean edits, strong captions, clear CTAs)

● Reliable weekly payroll-hours summary with minimal errors

● Increased engagement and inbound inquiries over time (bookings influenced by content)
