We are looking for a highly organized, detail-oriented Marketing Specialist to serve as the marketing team’s dedicated traffic manager, supporting initiatives for Motto Mortgage and wemlo, the mortgage brands under RE/MAX Holdings, Inc. This role is critical to the success of the marketing team, ensuring projects move efficiently from intake through execution by managing workflow, prioritization, and delivery across the team.
Reporting to the Brand Director, the Marketing Specialist acts as the central point of coordination for marketing projects—leading kickoff calls, defining scope and timelines, managing workflows, and balancing team capacity. This role partners closely with internal stakeholders to align priorities, timelines, and deliverables, while also coordinating the execution of key marketing initiatives.

Responsibilities
- Own the marketing project intake process, including gathering all background information and resources, asking relevant clarifying questions, and proactively identifying risks or dependencies that could impact project success.
- Lead marketing project kickoff calls by clearly communicating scope, objectives, and deliverables, thoroughly documenting key discussion notes, building and tracking detailed timelines, and assessing resource allocation to balance team capacity.
- Maintain accurate, up-to-date project records within the project management system and drive execution by facilitating status updates, reviews, approvals, and final handoffs to ensure projects remain on scope and on schedule.
- Coordinate and communicate effectively with internal stakeholders (creative, content, paid media, operations, and legal) and external vendors or partners to ensure communication flows and feedback loops are happening, while managing expectations.
- Support operations of the marketing team by keeping a pulse on multiple, ongoing projects and tracking tasks, reviews, priorities, statuses, and deadlines to ensure consistent, on-time delivery.
- Proactively identify project risks, dependencies, or gaps and communicate solutions to keep work on track and aligned with timelines and quality standards.
- Collaborate with team members to support departmental and organizational goals, contributing to marketing initiatives and identifying opportunities to add value or improve project outcomes.
- Support the ongoing development, maintenance, and optimization of project management tools, documentation, and workflows; contribute process improvement ideas; and assist with reporting on project performance and system usage.
- Manage the full lifecycle of key recurring marketing deliverables (e.g., monthly newsletters), including leading calls for content across the organization, organizing and refining submissions, and building, approving, and distributing final communications.
- Support the coordination and input of network social content and holiday emails by learning and effectively utilizing the marketing technology tools offered to the network.
- Assist in coordinating the company’s participation at various events and conferences, including budgeting, vendor management and logistics, and pre- and post-event support to ensure flawless delivery and alignment with organizational objectives.
- Assist in reviewing marketing materials for accuracy, style, brand voice, clarity, consistency, and adherence to brand guidelines.
Qualifications
- Bachelor's degree in marketing or related field.
- 3+ years of marketing experience in a professional setting with hands-on experience in traffic and/or project management.
- Strong proficiency with Microsoft Office Suite and project management/collaboration systems.
- Basic understanding of marketing mediums including print, digital, email, social, etc.
- Experience in mortgage, real estate and/or financial services industry a strong plus.

- Proficient in CRM and Marketing Automation Tools such as Salesforce, Salesforce Marketing Cloud, Hubspot, etc.
Hire Range/Rate:
$62,000 - $70,000
Actual compensation offered to candidate will be finalized at offer and may be above or below the posted range due to skill level, experience, industry specific knowledge, education/certifications, or geographic location.  The offer rate represents one component of the total compensation package.  Additional compensation for this position may include annual bonus eligibility or other incentives based on the position.
