How you’ll make an Impact   
As the Marketing Operations Specialist, you will become the glue our marketing and sales teams need. You will help optimize our marketing and sales operations, build new processes that enhance lead generation and nurturing strategies, and ensure pristine data and process hygiene for needed for sales and marketing excellence.  

 

Summary of Location and Hours  

  • This is a remote position; however, team members should be willing and able to travel if the need arises, though such travel is expected to be infrequent. Candidates with proximity to one of our Centers of Excellence are preferred (Lombard, IL; McLean, VA; Shreveport, LA; Overland Park, KS). 
  • 8am – 5pm, Mon-Fri, EST/CST 

 

What you will be doing   

  • Sales Enablement: Collaborate with the sales team to improve sales productivity, including configuring automation workflows, sales sequences, and performance tracking. Assist the sales team with tool troubleshooting and insights to drive performance. 
  • Sales and Marketing Alignment: Collaborate with sales and marketing teams to execute integrated processes that align sales and marketing around lead generation and conversion. 
  • Reporting: Monitor, analyze, and report on sales and marketing performance. Generate regular and ad-hoc reports for stakeholders 
  • Data Hygiene: Maintain pristine CRM data by managing duplicate contact and company records, blocking spam domains from form submissions, and enforcing standards that protect database integrity and email deliverability. 
  • HubSpot Workflow Audits: Regularly audit active workflows to identify errors, stale automations, and broken logic. Ensure all automations remain aligned with current business processes, team structure, and referenced assets. 
  • Lead Routing: Manage round robin lead assignment workflows, ensuring rotations stay accurate as team members are added, removed, or change roles. Reassign contact and deal ownership as needed to keep lead distribution fair and consistent. 
  • Campaign Support: Set up, configure, and maintain marketing campaigns, including emails, workflows, and automation sequences. Implement user segmentation, monitor campaign performance, and build reports and dashboards that demonstrate ROI. 
  • Training and Configuration Support: Provide training and support to sales and marketing teams on HubSpot and related tools. 
  • Content Operations: Manage coordination, scheduling, and publishing digital content across platforms (blogs, website pages, video uploads, and social media). 
  • Website Maintenance: Regularly update and maintain the HubSpot-built website, ensuring all content is up-to-date and functioning correctly  
     

You’ll be successful in this role if you have  

  • Minimum of 3-5 years in sales or marketing operations, preferably in a technology-driven environment working at mid-to-enterprise-sized business. 
  • Proficiency in setting up marketing automation, creating sales and marketing operations workflows, creating accurate reports, content staging, and CRM database management. 
  • Advanced HubSpot expertise with the ability to confidently build, troubleshoot, optimize, and manage complex workflows, automations, reporting, lead routing, and CRM processes with minimal oversight. 
  • You’re able to independently work with sales professionals and executives, to help troubleshoot and address various CRM adoption challenges. 
  • You’re not afraid of learning how to use AI in your job. 
  • Experience with Windows, Microsoft Office Suite, WordPress, and graphic design tools. 
  • Proficiency in reporting, with a flair for presentation and storytelling.  

 
Required language skills  

  • Ability to communicate professionally, in English, both written and orally. 
  • Ability to write business correspondence and basic process documentation. 
  • Ability to effectively present information and respond to questions from groups of managers, clients, the general public. 
     

Bonus points for   

  • Bachelor’s degree in Marketing, Business Administration, or a related field 
  • Certified in HubSpot CRM, Marketing Hub, Sales Hub, and other related tools for sales and marketing operations 
  • Experience with graphic design (Adobe Photoshop, Adobe InDesign, Canva, or similar preferred). 
  • Experience working with or for a Managed Service Provide (MSP) 
  • Exposure to lean/agile operational concepts, or a strong passion for operational excellence/systems thinking mentality. 
  • Basic front-end website coding experience.

The base pay range for this position is expected to be between $70,000 and $80,000 per year. The base pay offered may vary depending on multiple non-discriminatory factors including, but not limited to, market location, job-related knowledge, skills, and experience. The total compensation package for this position also includes medical benefits, 401(k) eligibility, and PTO. Additional details of participation in these benefit plans will be provided if an employee receives an offer of employment.

Workspace Requirements and Remote Work Policy 
Team members must establish a dedicated safe workspace that is free from distractions, hazards, and that is secure from unauthorized access. This includes following Ntiva’s IT User and Security Policies that include but are not limited to password-protecting all equipment, keeping confidential and proprietary documents secure, refraining from using public Wi-Fi, having adequate arrangements in place to avoid significant interruptions from caregiving responsibilities during work hours (except in emergency situations with manager approval). Any remote work away from a team member’s normal expected dedicated safe workspace must be requested by team member, is subject to review by management, and must adhere to Ntiva policies and procedures.
